Privacy Policy

Definitions

  • Customer, your Service Provider or Municipality that has a valid agreement with Proventus to offer Users access to and ongoing use of the Tjenesteshop
  • Users, registered and approved users of the Service Shop. Normally, these will be residents with decisions about municipal services, their guardians/guardians or employees of the Municipality or of the Service Provider.
  • Data Processor, Proventus, which processes personal data on behalf of the Customer.
  • Data Controller, A customer who has entered into a rental agreement (SAAS) with Proventus for the use of the Service Shop for its Users.
  • Tjensteshop, an administrative computer system owned by Proventus. The purpose of the system is to administer municipal services and improve dialogue between Users and Customers.

 

What personal data does Tjenesteshop process?

Personal data that Tjenesteshop processes about you may be:

  • Basic contact information such as name, address, phone number, email, guardians, and demographic information
  • Personal identity number for creating a user and logging in ID-porten
  • Information about users and traffic such as login ID, username and IP address
  • Content you or Service Provider have registered in the Solution such as photos, chat, text messages,

Enquiries and bookings

  • Statistics that show how users use the solution 

 

How do we collect your personal data?

In general, Proventus collects personal data directly from you or other persons who use the Service Shop and are associated with our Customer (your Service Provider/Municipality).

 

Why do we process personal data?

When using the Service Shop, personal data about you is processed. This Privacy Policy is designed to help you understand what personal information is collected, why it is collected, and how it is processed.

In this case, Proventus is the Data Processor and only processes data on behalf of and in accordance with instructions given by the Customer (your Service Provider/Municipality), who is the Data Controller. Information about how personal data is processed is described in the respective Data Processing Agreement between the Customer and Proventus. The data processing agreement is intended to ensure that personal data about the data subjects is not used unlawfully or unjustifiably in the hands of the data subjects, including that Proventus does not use personal data for its own commercial purposes. This privacy policy applies when Proventus processes your personal data in connection with your use of the Service Shop and associated modules. This can be for example by:

Using the System

  • Delivery of feature capabilities as licensed, configured and used by Customer and its Users, including the provision of personalized user experiences  


Support and improvements

  • Improve and develop the quality, functionality and user experience of our products, services and websites
  • Troubleshooting (preventing, detecting, investigating, mitigating and repairing problems, including problems identified in relevant products and services)
  • Provide customer support for our products and services
  • Running online forums for training and to enable interaction between users and Proventus 


Security

  • Detect, mitigate, and prevent security threats and abuse,

as well as perform maintenance and troubleshooting 

 

What is the legal basis for processing your personal data?

Proventus processes personal data on the following legal bases;

Legitimate interest

Proventus has a legitimate interest when we process your personal data for purposes such as security, operation, error correction, support, development and improvement.

 

When do we use subcontractors

Proventus uses subcontractors to process personal data. These subcontractors are usually providers of cloud services within the EU/EEA or other IT services.

You are always welcome to request an overview of and more detailed information about Proventus' subcontractors. How you can contact us is described in the last paragraph of this statement.‍

 

How long do we keep your personal data

Proventus only stores your personal data for as long as it is necessary to fulfil our contractual obligations with the Customer.

What are your rights

You can exercise the following rights related to the processing of your personal data:

  • Insight: You have the right to request a copy of personal data processed about you.
  • Correction: You also have the right to request correction of incorrect or incomplete personal data processed about you.
  • Deletion: You have the right to request the deletion of your personal data.
  • Limitation: You have the right to request that the processing of your personal data be restricted.
  • Data Portability: You have the right to receive your personal data in a structured, commonly used and machine-readable format.
  • Protest: On grounds relating to your particular situation, you have the right to object to the processing of your personal data based on legitimate interest. You also have the right to object to the processing of your personal data when this occurs in connection with the performance of a task carried out in the public interest or in the exercise of official authority vested in.

If you wish to exercise any of your rights above, you must contact the Data Controller (your Municipality/Service Provider) who may provide the necessary instructions to Proventus.

 

Changes

We encourage you to review the Statement regularly. If we make material changes to our Privacy Policy that materially change our privacy practices, we may also notify you by other means. For example, by sending out an email or posting a notice on the company's website before the changes take effect.
